Outside Scholarship Guidelines

Student

Scholarship Foundation

  • Funds should be provided by wire or mail to the address provided on the Outside Scholarship Form by the due date on the student’s initial invoice (late fees may not be waived if the scholarship was delayed due to late submission of student requirements)

Office of Student Financial Assistance

  • Record scholarships as outside resources on student’s behalf (this may impact the student’s eligibility)
  • Coordinate with SAO for scholarship processing
  • Refunding – Non-Enrolled Students
    • If the student has not attended GW for the semester specified by the scholarship foundation, the scholarship will be reviewed by the Office of Student Financial Assistance to determine if scholarship should be applied to an alternate semester or refunded to the scholarship foundation
  • Refunding – Enrolled Students
    • Student Accounts will refund the scholarship to the student based on the guidelines below unless otherwise advised by the Office of Student Financial Assistance

Student Accounts

  • Scholarships addressed to Student Accounts are routed to the Office of Student Financial Assistance to be recorded as outside resources
  • Scholarships payments are posted to student accounts as directed by the Office of Student Financial Assistance
    • Scholarship checks are automatically split over fall/spring unless otherwise specified by the Office of Student Financial Assistance or in the scholarship foundation letter
  • Refunding – Non-Enrolled Students
    • Any non-enrolled students identified as having outside scholarship credits are reported to the Office of Student Financial Assistance
  • Refunding – Enrolled Students
    • Student Accounts will honor student deferral/refund requests of $5,000 or less for domestic scholarships and for $1,500 or less for international scholarships.
    • Scholarships that exceed the above thresholds will be reviewed by Student Accounts and/or the Office of Student Financial Assistance to determine whether the scholarship should be refunded to the student or the scholarship. Management will review scholarship documentation, account history, etc. to determine appropriate refund recipient.
